Enrolment information
We believe our enrolment process is equitable for all families and the Ewin ELC strongly encourages acceptance and appreciation of diversity for all. This policy will outline the procedures around joining the waiting list, being offered a position and how to enrol, and then orientation into the centre.
Families and children will be orientated into the centre through our transition process. This allows them to gain information, ask questions and feel comfortable before their child attends their first day.
We believe that the transition process is of high importance as it allows us to welcome you into our centre in a relaxed manner. It also gives families the opportunity to share their expectations of the centre, as well as information about their child.
How Enrolment works..
Step 1 - A Family is offered a position for their child at the Ewin ELC
Step 3 – Enrolment
*Assistance for enrolment is offered to families as needed, and is available for the entire process should a family not have access to a computer or internet at home.
Step 4 – Orientation/transition commences
Step 5 – Fee Payment
Step 6 – Enrolled child attends their first day
Families are required to update any changes to information immediately with the Centre and through the OWNA app to ensure we have the most up to date information. Eg. Parent’s place of work; change of phone number.
Orientation - Transition Visits
We believe that it is extremely important for all families and children to have a relaxed and informative orientation to the Centre. Before a child commences at the Centre, the family is required to attend 3 transition visits.
Each transition visit runs for 30 minutes, and can be extended or additional visits booked if families or the Room Leaders believe it will benefit the child.
The aim of the transition is to introduce the family and child to the Centre, the Policies & Procedures, the staff and to familiarise them with the child’s new room.

Before a child commences at the Centre, each family is required to attend 3 transition visits.
Each transition visit runs for 30 minutes, and can be extended or additional visits booked if families or the Room Leaders believe it will benefit the child.
The aim of the transition is to introduce the family and child to the Centre, the Policies & Procedures, the Educators and support staff and to familiarise them with the child’s new room.
Transition 1 –All About Ewin ELC
The enrolling parent is invited to will meet with a member of our Management team who will welcome them into the Centre to discuss the enrollment procedure.
This meeting aims to share various important information primarily about the Ewin ELC policies and practices, in particular those policies that cover Sun Protection, Child Protection and Unwell Children; just to name a few. We request that the parent comes without their child for optimal information download.
Transition 2 - All About You and Your New Room
The enrolling parent and their child are invited in for the 2nd transition, and this is where they will be introduced to the child's Room Leader. The Room Leader conducts this transition and discusses the child’s routines, needs, interests and personality. This transition also includes a tour of the room, and an explanation about how a typical day runs, what the curriculum is, and how the room and Educators can meet the needs and interests of all the attending children.
Transition 3 - All About You and Your New Room Take 2!
The 3rd transition visit provides a second opportunity for the parent and their child to become familiar with their new room. The Room Leader will ensure all aspects of the transition process have been covered, and also introduce the family to our online programming and planning software, and explain how families can access their child’s learning and development through the smart phone app.
If after the 3rd transition the family or the Room Leader feel that the child will benefit from an additional transition before they commence care, an appropriate time will be organized.
Settling in is different for every child and their family. Children and families experience a mixture of feelings when starting at an Education and Care service, and this is very normal. We often find that it’s the families who are feeling a bit apprehensive rather than the child themselves.
We use a variety of strategies to help your child settle into our Centre, in particular our Transition Visit Procedure. We are here to help you, so please talk to our Educators and staff if there is something on your mind.
It is really important to say goodbye to your child when you are leaving. Even if your child becomes upset, it helps establish a trust that you will not disappear and reassures your child of your return. Please also ensure that an Educator is aware that you are leaving so they can comfort your child. A comfort item belonging to your child can also be a good settling technique.
Please speak to the Educators if you are worried or unsure of what to do. Feel free to telephone the Centre during the day for reassurance that your child has settled and is ok. The Educators will always tell you honestly how your child is, and if your child is ever distressed at the Centre we will contact you. Some children settle quickly and others take a little longer.
Our Educators will assess your child’s emotional needs and discuss these with you. Regular attendance also helps a child to settle.

How Enrolment works..
Step 1 - A Family is offered a position for their child at the Ewin ELC
- Management call the family to discuss and offer the position.
- The family need to confirm by email within 48 hours so that the enrolment process can begin.
- The family are given 48 hours to make the $250 bond payment, email the Ewin ELC a payment remittance, and also email a copy of the child’s AIR Immunisation History Statement.
- If the bond is not paid, and/or the Immunisation History is not received, the position is not secured and it may be offered to someone else.
- The family are asked to contact ‘Services Australia’ (MyGov / Centrelink) to register for the Child Care Subsidy.
Step 3 – Enrolment
- Families will receive the Enrolment link and a copy of our Parent Handbook and other information.
- Enrolment and enrolment related forms will need to be completed within 48 hours of receiving the enrolment link.

- Transition visits are scheduled to settle both the child and family into the Centre.
Step 5 – Fee Payment
- The first family fee payment is debited from your nominated account through the Direct Debit system - this will ensures family accounts are 2 weeks in advance.
